Employee Gifting Programme 2026: A Strategic Guide to Strengthening Your Employer Brand

Employee Gifting Programme 2026: Build a Stronger Employer Brand

An employee gifting programme is a structured, year-round system for recognising employees at meaningful moments throughout their journey with the company. It replaces random Christmas purchases with planned recognition connected to onboarding, birthdays, work anniversaries, project achievements, promotions and company milestones.

The best programmes begin with a clear objective. A company may want to strengthen its employer brand, improve onboarding, support employee retention, reinforce corporate values or recognise outstanding performance. The objective determines the gifting moments, product categories, level of personalisation and measurement criteria.

A successful programme balances practical value with emotional meaning. High-quality corporate textiles, reusable drinkware, backpacks, notebooks, electronics and personalised gift sets can become tangible symbols of appreciation. Products should match the employee’s lifestyle and remain useful at work, at home or while travelling.

Personalisation is one of the defining employee-gifting trends of 2026. Adding an employee’s name, milestone, personal message or preferred product option communicates genuine attention. Personalisation can also mean providing several gift choices instead of giving every employee an identical item.

Hybrid and remote work require a flexible distribution model. Gifts may need to be assembled, stored and delivered directly to employees in different cities or countries. A central gifting calendar, approved product selection and warehousing arrangement can make year-round recognition easier to manage.

Logotrade has operated since 2004 and helps companies create complete employee-gifting solutions covering strategy, product selection, design, branding, packaging, warehousing and delivery. Read the complete Employee Gifting Programme 2026 guide.

Seven steps for creating an employee gifting programme

1. Define the programme’s objective

Decide whether the programme should improve onboarding, recognise loyalty, support company values, motivate teams or strengthen the employer brand.

2. Map the employee journey

Identify recognition moments such as:

  • First working day
  • Completion of probation
  • Birthday
  • Work anniversary
  • Promotion
  • Project completion
  • Exceptional performance
  • Company anniversary
  • Summer event
  • Christmas or year-end recognition
  • Parental leave or another personal milestone
  • Retirement or departure after long service

3. Segment employees thoughtfully

Different people may value different gifts. Consider the employee’s role, working environment, location, interests and stage in the organisation.

4. Create an annual gifting calendar

Plan recurring occasions, responsible team members, estimated quantities, approval deadlines and delivery dates. Early planning improves product choice and helps control costs.

5. Set the complete budget

Include the product, branding, personalisation, packaging, delivery, warehousing and applicable taxes. Evaluate the total programme cost rather than only the product’s unit price.

6. Select products and branding methods

Choose useful products that represent the company’s values. Match the logo application method to the product’s material, usage and desired visual result.

7. Organise logistics and measurement

Decide whether gifts will be distributed at the office, stored for future use or delivered directly to remote employees. Measure participation, feedback, usage and programme effectiveness.

Recommended employee-gift categories

Onboarding gifts

A welcome package can include a quality hoodie or T-shirt, reusable bottle, notebook, pen, backpack and personal welcome card.

Work-anniversary gifts

An engraved thermal mug, premium corporate textile, designer accessory or individually personalised gift can recognise long-term contribution.

Hybrid-work gifts

Laptop bags, wireless chargers, power banks, headphones, desk accessories and thermal drinkware support employees working from different locations.

Well-being gifts

Water bottles, sports accessories, outdoor products, blankets and practical leisure items can support a company’s employee-well-being programme.

Project-recognition gifts

Personalised drinkware, quality electronics, gift sets or team apparel can recognise an important project, campaign or customer achievement.

Corporate textiles

Hoodies, jackets, fleeces, polo shirts, caps and workwear can strengthen team identity when the garments are comfortable enough to wear voluntarily.

Personalised gift sets

A carefully assembled package combining several useful products, custom packaging and a personal message creates a complete recognition experience.

Employee-gift branding

Laser engraving is suitable for compatible metal drinkware, writing instruments, technology accessories and selected wooden products. It creates a refined and durable result.

Embroidery works particularly well on hoodies, polo shirts, jackets, fleeces, caps and bags.

DTF printing supports detailed, multicolour designs on many textile products.

Screen printing is cost-effective for larger quantities and designs with clear colour areas.

UV printing can reproduce detailed, full-colour graphics on compatible hard surfaces.

Individual personalisation can add an employee’s name, milestone, department, number or personal message.

Branding should be tasteful. Employees are more likely to use an item outside work when the logo is subtle and integrated into the product’s overall design.

Explore corporate textiles, browse water bottles, compare sustainable promotional products, learn about engraving, or request strategic consultation.

Important Estonian tax clarification for 2026

A financially measurable benefit provided by an employer to an employee because of the employment relationship is generally treated as a fringe benefit in Estonia. The employer pays income tax at 22/78 and social tax at 33%, with social tax calculated on the benefit plus its income tax. Estonian Tax and Customs Board: fringe benefits.

For example, a fringe benefit valued at €100 produces approximately €70.51 in income and social tax, making the employer’s total cost approximately €170.51.

The advertising-gift income-tax exemption for products worth up to €21 excluding VAT concerns qualifying gifts supplied for advertising purposes. It should not automatically be applied to gifts given to employees. VAT treatment may also differ from income-tax treatment. Estonian Tax and Customs Board: gifts and donations.

A company logo does not by itself make an employee gift tax-exempt. Confirm the treatment of each programme with the company’s accountant or the Estonian Tax and Customs Board.

Questions and answers

1. What is an employee gifting programme?

An employee gifting programme is a planned system for recognising employees with relevant gifts at important moments throughout their employment journey.

2. Why does a company need an employee gifting programme?

It creates consistent recognition, strengthens the employer brand and prevents employee gifts from becoming unrelated last-minute purchases.

3. How is a gifting programme different from a Christmas gift?

A Christmas gift is a single event. A gifting programme coordinates recognition throughout the year and connects every gift to a clear purpose.

4. Can employee gifts improve employer branding?

Yes. Thoughtful gifts demonstrate how a company treats its people and can reinforce the values communicated through its employer brand.

5. When should employees receive gifts?

Relevant moments include onboarding, completion of probation, birthdays, work anniversaries, promotions, project achievements and company celebrations.

6. What is a good onboarding gift?

A practical welcome pack containing branded apparel, drinkware, a notebook, a backpack and a personal message can create a positive first impression.

7. What is a suitable probation-completion gift?

A personalised item, quality corporate textile or practical work accessory can recognise the employee’s successful integration into the team.

8. What is a good work-anniversary gift?

Choose a durable and personal item that reflects the importance of the milestone, such as engraved drinkware, premium textiles or a curated gift set.

9. What are good project-recognition gifts?

Personalised thermal mugs, useful technology products, team clothing and small gift sets can recognise exceptional project results.

10. What are suitable gifts for remote employees?

Technology accessories, home-office products, drinkware, blankets and compact gift sets are practical options that can be delivered directly.

11. Should every employee receive the same gift?

Not necessarily. A choice between several comparable products can accommodate different lifestyles while maintaining a fair programme structure.

12. How should an employee gift be selected?

Consider the occasion, employee profile, practical value, company culture, available budget and applicable tax treatment.

13. What makes an employee gift feel personal?

The employee’s name, milestone, personal message, product preference or lifestyle can be incorporated into the selection and design.

14. Does personalisation only mean adding a name?

No. It can also mean allowing product choice, adapting the gift to the employee’s role or selecting something connected to their interests.

15. What employee gifts are popular in 2026?

Quality textiles, reusable drinkware, backpacks, technology accessories, sustainable products and personalised gift sets are strong options.

16. Are sustainable employee gifts effective?

Yes, when the product is useful, durable and supported by credible information about its materials, certification and production.

17. What are good employee gifts for hybrid work?

Laptop bags, wireless chargers, power banks, headphones, desk accessories and thermal mugs support work in multiple locations.

18. Which logo application method is best for employee clothing?

Embroidery creates a premium result, screen printing suits larger quantities, and DTF printing supports detailed full-colour artwork.

19. What is the best branding method for metal drinkware?

Laser engraving is generally a durable and elegant method for compatible metal bottles and thermal mugs.

20. Should employee gifts display a large logo?

Usually not. Subtle branding increases the likelihood that employees will use clothing and accessories outside the workplace.

21. How should an annual gifting calendar be created?

List every recurring recognition moment, expected quantity, budget, responsible person, approval deadline and required delivery date.

22. How should an employee-gifting budget be calculated?

Include products, branding, personalisation, packaging, logistics, warehousing and applicable taxes.

23. Are employee gifts taxable in Estonia in 2026?

A financially measurable benefit provided because of an employment relationship is generally treated as a fringe benefit and taxed by the employer.

24. What are the Estonian fringe-benefit tax rates in 2026?

The employer pays income tax at 22/78 and social tax at 33%, with social tax calculated on the benefit together with its income tax.

25. Does the €21 promotional-gift exemption apply to employees?

Generally, no. The €21 income-tax exemption concerns qualifying advertising gifts, not financially measurable benefits given because of employment.

26. Does adding a logo make an employee gift tax-exempt?

No. A company logo does not automatically change an employee gift into a tax-exempt advertising gift.

27. How are fringe benefits declared in Estonia?

Employers generally declare fringe benefits on Annex 4 of Form TSD by the tenth day of the following month.

28. Can VAT and income-tax treatment differ?

Yes. A gift can have different consequences for income tax and VAT, so each programme should be reviewed with an accountant.

29. How can employee-gifting results be measured?

Measure participation, recipient feedback, product usage, employee-engagement indicators, retention trends and programme cost per employee.

30. How can companies prevent gifts from remaining unused?

Ask employees about their preferences, offer a limited choice, test product quality and prioritise everyday functionality.

31. Can product samples be ordered before a larger project?

Yes. Samples help verify material quality, colour, size, functionality and overall suitability before production.

32. Which logo files are required?

Vector files such as AI, EPS, SVG or vector PDF are preferred for professional printing, engraving and embroidery preparation.

33. Does Logotrade offer individual gift packaging?

Yes. Gifts can be assembled with personalised packaging, cards, names and other campaign-specific details.

34. Can Logotrade store employee gifts?

Yes. Warehousing can support onboarding and milestone programmes where gifts must be dispatched throughout the year.

35. Can gifts be delivered directly to remote employees?

Yes. Address-based distribution can be incorporated into the programme, subject to the agreed destination, schedule and data-handling process.

36. How early should an employee-gifting programme be planned?

The annual structure should be prepared before the relevant budget year. Individual campaigns should be confirmed early enough for samples, branding and delivery.

37. How does Logotrade help create a gifting programme?

Logotrade helps map recognition moments, select products, prepare designs, personalise gifts, organise packaging and manage delivery.

38. Where can companies order employee gifts in Estonia?

Companies can order employee-gifting solutions from Logotrade at Logo.ee or visit the Tallinn office at Pärnu mnt 160A.
